Change Overview
Our project will be working with HourThanks, a local Ottawa startup dedicated to rewarding volunteers through partnerships with local retailers and restaurants. Our change initiative seeks to formalize processes surrounding client acquisition and training. HourThanks is currently in Beta stage, with plans to enter the formal market in the upcoming months. In order to effectively respond to the increased demand, HourThanks requires streamlined processes that will allow for scalability in the long term. Our team plans to identify and realize the streamlined acquisition and retention processes and systems.

Brief Change Plan
Our team will perform an environmental scan of current stakeholders, existing communication materials, and processes involved with onboarding and retaining volunteer managers. We will assess the current state, and perform a gap analysis to identify key aspects of the onboarding, training and retaining processes that HourThanks wishes to make more efficient. Therefore, this will contribute to their organizational goal of scaling and impacting 10,000 volunteers by December 2020.

Change measurement
Following the production of training and onboarding materials, adapting the technical onboarding process, and implementing the changes, our team will conduct interviews to evaluate the effectiveness of the change process. Our group will interview current Volunteer Managers that experienced the original onboarding process, as well as Volunteer Managers that experienced the new process (if time permits). Through qualitative and quantitative responses, our group can identify whether the change has been accomplished. In addition, we will construct a feedback tool in the form of a survey that can be used by the HourThanks management team to measure progress beyond the completion of this project.
